About the Role

POSITION OVERVIEW
The DSA Administrator is responsible for managing the administrative aspects of Division of the State Architect (DSA) paperwork and communication during the close-out phase of K-12 and community college public school projects. This role will coordinate with other 19six offices and personnel to ensure full compliance with DSA regulations and to secure project completion with a DSA #1 Certification and Close of File.

 

PRIMARY ROLE & RESPONSIBILITIES

  • Serve as the primary liaison between contractors, architects, school district representatives, and the DSA during the project close-out phase.
  • Prepare, process, and track close-out documentation, including forms 6-AE, 6-C, and 168, ensuring compliance with DSA requirements.
  • Manage DSA-related submissions with Field Docs Offices and upload documentation to DSA Box.
  • Interpret and process 301-N and 301-P letters, as well as form 302, including re-examination requests when necessary.
  • Maintain thorough knowledge of all DSA close-out forms and regulations, including forms 1,
    1-REG, 102-IC, 5-PI, and 6-PI.
  • Participate in project meetings to address DSA close-out requirements.
  • Support multiple team’s firm wide, including providing the Marketing Team with closeout update upon certification.

DESIRED SKILLS & QUALIFICATIONS

  • High school diploma required; Associate degree or higher preferred.
  • Minimum of 3 years of experience in DSA administration with a focus on close-out for K-12 and/or Community College architectural/construction projects.
  • In-depth knowledge of DSA procedures, forms, and documentation requirements.
  • Proficiency in project management and document control software, including Procore, Bluebeam, Microsoft Office Suite (Word, Excel, Outlook), and Microsoft 365 (especially Teams).
  • Strong organizational, communication, and administrative skills.
